Asst. Office Administrator

Major Duties & Responsibilities

  • Supervising and monitoring day to day office administration work
  • Assist Office Administrator in ensuring logistics for daily office operation
  • Negotiate with vendors, maintaining a good relationship, in order to process work order and bill
  • Prepare and submit monthly activity report, briefing papers and presentations to the management
  • Ensuring office security, cleanliness and hygiene by strict supervision
  • Strong supervision for cost control and taking initiative for avoiding unnecessary expenses
  • Assist Office administrator in arranging internal events (outdoor and indoor), travel and accommodation by maintaining proper liaison with travel agents and travel guides
  • Maintaining roster of drivers and service staff and oversee training of service staff
  • Dealing with incoming email, faxes and consulting with senior
  • Salary sheet making and salary deposit
  • Vehicle maintenance (registration, license renew, keeps service & maintenance log)
  • Oversee the management of cafeteria
  • Purchase necessary office equipment, Computers & others accessories
  • Stock management of various goods and assets
  • All kind of administrative works with other offices including government offices
  • Oversee attendance of employees and report any problems to higher authority
  • Proactively maintain office equipment like Generator, water pump, AC, electronics goods etc.
  • Assisting in the completion of income tax assessment form for employees by discussing with lawyer and submit and collectconfirmation letter
  • Company accounts management and various banking works
  • Assist in computer hardware & software setup in case of emergency

Experience Requirements

  • Fresh graduates are encouraged to apply

Qualifications & Requirements

  • Bachelors degree in business, engineering or relevant field
  • Self-management and ability to work under stress is compulsory
  • Ability to take responsibility of their own work therefore reducing error percentage
  • Self-motivated, independent worker with the ability to multi-task
  • Proven organizational and interpersonal skills
  • Ability to solve problems independently or with minimal guidance
  • High level analytical skills in solving administrative problems
  • Speaking clearly and persuasively in positive or negative situations
  • Be professional, courteous, and know proper phone etiquette
  • Ability to relate with a diverse group of people
  • Sound knowledge of essential software like MS Word, MS Excel, MS PowerPoint, MS Outlook, etc.
